Overview

Use Ledger History (Reports) to generate school- and district-level history reports in SchoolCash Accounting. Filter by year or date range, select categories or umbrellas, and export to PDF, Excel, or Word.

Before you begin
  • You must be a District Administrator to access district-level reports.

Steps

  1. From the Main Menu, go to My School Information > Program Maintenance > Ledger History (Reports).
  2. Choose a report from the School Reports (left) or District Level Reports (right) panel.
  3. Set report options:
    • School Year or Date Range.
    • Category Umbrella Types and specific Categories (use Select All as needed).
    • Design choices such as Accounting Style, Include Budgeted Revenue & Expense, Display Transfers, or Roll Up Categories (availability varies by report).
  4. Click Continue to generate the preview.
  5. Print or export:
    • Click the Printer icon to print.
    • Click the Save/Export icon to download as PDF, Excel, or Word.
    • Use the viewer’s Find tool to search within the report.

Common School Reports

  • #1 Detailed Category Summary (All Transactions) – Category-level report with debits, credits, and cleared status; optional budget columns.
  • #10 Trial Balance (Umbrella / Date Range) – Opening, activity, transfers, and closing balances by umbrella; options to display transfers and roll up categories.
  • #11 Customized Transaction Report – Flexible filters by category, umbrella, type, memo, amount, contact, and more.
  • #11K / #11L Reprints – Month-end reconciliation and category overview reprints by date.
  • Tax Rebate – Transactions eligible for rebate with tax paid and rebate totals.
  • YTD History – Itemized cash/checks for a range; useful for confirming deposits.
  • Vendor 1099 Summary – Totals for vendors marked as 1099. (US Only)

Common District Reports

  • Statement of Finance (Year End) – Assets, liabilities, and net financial assets summarized by school/bank account.
  • Schedule of Activities Fund (Year End) – Revenues, expenses, transfers, and balances; option to include transfers.
  • Bank Service Charges – All Schools – Detailed or overview totals by school and bank account.
  • Tax Rebate (District) – Detailed and overview options; includes “All Transactions” variant.
  • Umbrella Summary / Overview – Summaries by umbrella with optional drill-down lists.
  • Loss Revenue NSF Checks – Detailed or overview NSF activity and outstanding amounts by school.
  • Schedule E / Schedule 14 – Year-end schedules as required for district reporting.
  • Vendor 1099 Summary (District) – Vendor totals across assigned schools/bank accounts. (US Only)

Troubleshooting

  • No results – Expand the date range, include more umbrellas/categories, or verify transactions exist for the period.
