Overview
Adjust the printed check layout in SchoolCash Accounting so payee, amount, and stub fields align with your check stock and printer. Start with a test print on plain paper before applying any changes.
Before you begin
- If your district uses pre-printed symbols or special date formats, confirm requirements before editing.
Steps
- From the Main Menu, go to Expense > Issue Checks - Disbursements.
- Click Print > Test Print, then use the Printer icon to print to plain paper. Hold the page over your check stock to check alignment.
- If changes are needed, click Print > Change Check Layout.
- Choose the correct Template Style for your check stock. (This is set during implementation.)
- Update layout options as required:
- Date format – select short, long, or CPA-style date.
- Currency symbol – turn off if your checks are pre-printed with a symbol.
- Optional fields – enable items such as Extra Recipient Line, Category Name in Reason, or Attention fields.
- Fine-tune field positions:
- Click a field to select it, then use the on-screen arrow tools or your keyboard to nudge the field into place.
- Drag a field to move it a larger distance.
- For straight alignment, match X-Position (vertical) or Y-Position (horizontal) values.
- To remove a field, drag it off the layout area.
- Click Save Changes. If prompted, choose how to apply changes (for example, to this bank account).
- Scroll to other sections of the layout as needed, adjust, and click Save Changes again.
- Run another Test Print and verify alignment. Repeat adjustments until correct.
Outcome
Your check face and stub fields align with the check stock. Printing real checks will produce properly positioned payee, date, amount, and memo information.
Troubleshooting
- Fields still misaligned after saving – Reopen Change Check Layout, confirm the Template Style, then adjust X-Position and Y-Position values in small increments.
- Currency symbol prints twice – Turn off Show Check Currency Symbol if your stock is pre-printed with a symbol.
- Wrong date style – Select the correct date option (short, long, or CPA style) and re-test.
