Overview

You can use the built-in scanner on your POS device to validate and redeem receipts from SchoolCash Point of Sale (POS), SchoolCash Online, and SchoolCash Register.

Redeeming a receipt confirms the purchase and marks the item as used so it cannot be redeemed again. This is helpful for pickup and delivery workflows, admission and ticketing, and any scenario where you need to verify a purchase before handing out an item.

Before you begin


  • You must have access to the POS device used for redemption. A SchoolCash login is not required.
  • The receipt must be for a purchase from your own school catalog. You cannot redeem a receipt from a device assigned to another school.
  • Clover devices are not compatible with this feature.


Steps

  1. From the POS device Home Screen, tap SCAN RECEIPT.
  2. Confirm SCANNINGappears on the screen.
    • The device laser activates automatically and stays active for 10 seconds.
    • To reactivate the laser, tap SCAN on the screen or press the SCAN button on the left side of the device.
  3. Scan the receipt QR code, or tap Enter Receipt Number to type the receipt number manually.
  4. Review the receipt details.
  5. Select the item(s) to redeem.
    • If there is only one item on the receipt, it is selected automatically.
    • If there are multiple items, select the items you want to redeem (a green outline appears around selected items).
    • To change quantity, select + or -.
    • The counter at the bottom left updates with the total quantity selected.
    • To deselect an item, tap the item again to remove the green outline.
  6. Tap REDEEM.
  7. Tap SCAN ANOTHER RECEIPT to scan another receipt, or tap HOME to return to the POS Home Screen.

Outcome

The receipt is verified, and the selected items are redeemed. Redeemed items display in the Recently Redeemed section for tracking.

Troubleshooting

  • Failed scan - Tap TRY AGAIN or HOME.
  • Receipt already redeemed - Items are marked as redeemed and can no longer be selected.
  • Partial redemption - Only the remaining quantity is shown and can be redeemed.
  • District catalog purchases - School users cannot redeem a district catalog item at the school level.
