This article explains how the Outstanding Required Fees for Inactive Students feature helps you collect required fees when a student moves to another school in your district or leaves the district. Payments are always routed to the school that owns the item. The item does not move to the student’s new school, and there is no transfer process between schools.


Steps

Understand how the feature works

  1. Create required items at the school that should receive the revenue.
  2. When a student becomes inactive at the original school (for example, they move to another school), the required fee still belongs to the original school.
  3. With this feature enabled, parents/guardians can pay outstanding required fees for inactive students in SchoolCash Online.


Confirm your district’s process when students change schools

  1. Confirm whether your district expects the receiving school to collect the payment or the originating school to collect the payment.
  2. If the originating school collects the payment, keep the original required item attached so it remains payable through SchoolCash Online.
  3. If the receiving school creates a new fee instead, decide whether the originating school should change the original attachment from Required to Optional to prevent duplicate required fees.


Prevent duplicate required fees and reduce parent confusion

  1. If both schools create the same fee and both are attached as Required, both required fees will appear on the parent/guardian view.
  2. Coordinate with your district to confirm which school should keep the fee as Required.
  3. If your district decides the fee should not remain a required commitment at the originating school, change the attachment from Required to Optional using the Manage Attachments workflow referenced in the related resources.


Add this review to mid-year moves and year-end rollover prep

  1. When students leave your school mid-year, review required items to confirm they should remain required commitments.
  2. Before SchoolCash Catalog rollover, review required items and update any attachments that should not carry forward.



Outcome

Outstanding required fees for inactive students remain collectible in SchoolCash Online, while revenue continues to route to the school that owns the item. Clear ownership and clean attachments reduce duplicate fees and parent/guardian confusion.


Troubleshoot

  • Parents/guardians see duplicate required fees for the same situation > Confirm whether both schools created the same required fee, then align with your district on which school should keep the fee as Required.
  • Parents/guardians do not see an outstanding required fee for an inactive student > Confirm the item is still attached as Required at the original school and that your district has enabled the feature.
  • Staff are unsure which school receives the revenue > Revenue routes to the school that owns the item (the school where the item was created).
  • If you have done all the troubleshooting steps and still have an issue, contact your District Administrator.
