Overview
Use Year-End Rollover Automation to monitor readiness across schools, initiate rollovers for eligible schools, and access year-end reports after completion.
Before you begin
- Only District Administrator users can run automated rollovers.
- All checklist items must be complete for a school to appear under Ready to Rollover.
Steps
- From Program Maintenance, select Year-End Rollover Automation.
- (Optional) Click Print to share the list of accounts that are not ready with school bookkeepers.
- Use Search to locate a bank account; matches appear as you type partial details.
- Set the Rollover Year to review schools by status: Not Ready to Rollover, Ready to Rollover, and Rollover Complete.
- In Not Ready to Rollover, hover over the numbers to see checklist item details, or expand a school to view incomplete tasks.
- When ready, choose Begin Rollover for a single school or Begin Rollover for All Schools to roll over all eligible schools.
- After completion, open Rollover Complete and use Download Reports to receive links by email, or click individual report numbers to download PDFs.
Outcome
Eligible schools are rolled over to the new fiscal year, and year-end reports are immediately available from the automation interface.
Troubleshooting
- No schools in Ready to Rollover - Confirm each school has completed its Year-End Rollover Checklist and that you've selected the correct school year.
- Reports do not appear - Use Download Reports to receive an email link, or select report numbers for individual PDFs under Rollover Complete.
