Introduction

This article provides a step-by-step guide for creating items in SchoolCash, covering the essential sections such as Basics, Financials, Availability, and Extras. Following these steps ensures accurate item setup and streamlines the process for both parents and staff.

Basics Section

  1. Item name - Make it easy for your parents to identify what is for sale
  2. Description - Inform parents of all the details, provide the 5 W details (Who, What, Where, When & Why)
  3. Picture - Worth a thousand words

Financials Section

  1. School Year - Defaults to the current school year; if you are creating for next year, change it
  2. Accounts - Select the account to receive revenue

Availability Section

  1. Effective Date - The day the item is available for parents to pay Online and bookkeepers to use Register
  2. End Date - Last day the item is available for parents to purchase Online
  3. Item setup accepts defaults for Limit Per Student, Limit Quantity, and Visibility

Extras Section

  1. Basic Item setup does not have Options and Choices
  2. Not activating Scheduled Payments and Permission Form

Always PREVIEW

  • This is the time, before it goes live, to ensure the setup is correct.
  • Does the item appear and react the way you envisioned?

Save Options

  • Save and Attach - Saves item and takes the user directly to the Attachment window
  • Save and Create New - Saves item without attaching and opens a new item; good for next year preparation
  • Save and Copy - Saves item without attaching and opens an identical copy; useful for items requiring limited changes
  • Save - Simply saves the changes
  • Cancel - Will require you to Confirm cancellation
